Attached is our company's vehicle operation log for the year 2025.

I'm sharing the driving log I've been using up to now as an attached file.

It's organized with 2025 dates.

If you change the 2025.1.1 in the second Tab to the date your driver starts workthen... the whole year of 2025 will have its dates changed automatically.

For example, in my case the driver first started work on the 25th.   In that case the first day of the 2025 log would be 2024.12.25, right?

The capture above is a capture of the January tab. So that the driver can fill it in, every month when I pay their salary I print out the next month's log and hand it over.. I hide the columns written in Korean when printing it out.

When the driver brings back a month's driving log recording clock-in time, clock-out time, cash used, card used, distance driven and so on...

what I actually need is the clock-in and clock-out times... so if you enter only those, it automatically calculates and totals everything based on the amounts agreed in advance.

For clock-in and clock-out times, in my case I used 10-minute units.

The Normal/Late/Early Leave/Absent column is there to exclude full attendance when someone is late or absent without notice... but so far none of my drivers has ever been absent without prior arrangement, so it has always been Normal.
Once you select (enter) all of a month's attendance and hours, the statistics and salary are calculated automatically as in the capture above. (For the calculation criteria, just enter the amounts agreed with your driver.)

Every household... and every agreement may use it differently... but in my case, even though I've had several different drivers, I've always used this document,   and none of the drivers has ever raised any complaint about it.

In our household the driver almost never works overtime... but on the rare occasion when overtime is needed, before mealtime I give them about 50,000 Rp in cash for "coffee and a meal".   Of course if overtime were frequent it would be a burden, but since it's only once in a while for us... I give it as a sort of Tip for drinks and meals.

As you can see in the capture above, in our household we paid an average of around 5jt in 2024.

Since public and private matters must be kept clearly separate... for parking and toll fees I ask them to collect the receipts for a month and hand them in together with the driving log.

And,   whenever I have small change in my wallet (under 10,000 Rp) I put it in the center console ashtray in the car.   I leave it there for U-turns or for parking lots where cash is needed...  but looking at the cash usage recorded in the log, they always spend more than the change I leave behind.   Even so they never say anything about it.... they treat the occasional Tip I give as making up for it.   This part may differ somewhat from person to person, but all the drivers who have worked at our house so far have done it that way.

I hope this helps anyone just starting life in Indonesia.   You know the file I've attached isn't absolute truth, right?   It's a form I made and use myself, so please treat it as a reference... and modify it to suit your own situation.

Downloads are more than welcome.

However, please refrain from re-posting or re-sharing it on other sites, cafes and so on.

I shared it with the purpose of sharing it only within nongKrong.
